Information for Exhibitors

Dear exhibitors,
If you are interested in presenting your company at the congress, in the form of hiring a stand area, a company symposium, advertising, sponsored group registration or others, please register through the Czech Society of Cardiology registration on-line system. That is the only way to register a company for the congress. 

You can register (using the link "Registration – active, passive” on the left) after entering the access codes you chose for the previous congresses. The access data are still valid and by entering them you will avoid having to fill in the login form again.  If you do not remember the password, ask for it using “Forgotten password”; if you remember neither the password nor the login name but you had already registered, please call 543 213 825, we will be happy to give you the data after verification. When you log in, there is the menu of main activities. Please follow the instructions.

Possible ways of your company participation in the congress:

1. Hiring an exhibition area (standard equipment included – see Appendix 1)
When you log in the registration system, you can order an area for your stand.
Use the Questionnaire for exhibitors to specify the requested area and the type of stand you are interested in (cubicle system or your own construction). The company expositions will again be located in hall A1 and the area divisions will start in mid-March 2010; therefore, send your orders as soon as possible to get included in the first round of dividing. When dividing, several factors will be taken in consideration – placing of the stands in the previous years, the time of registration and the extent of the company sponsorship for the congress. We would like to keep the same positions of the company stands as in the previous years because the congress participants are used to finding the stands at the same places; also the date of the registrations plays a certain role and also the extent of the sponsorship – the general and the main sponsors are the only ones entitled to choose the exhibition place, the other exhibitors are allotted a space in correspondence with the above-mentioned rules.
Company registration finishes on April 23, 2010; this is also the last day of all passive participation registration (individual, group).

2. Company symposium
It is possible to order a company symposium until January 11, 2010; it is necessary to enter at least the length of the symposium and its preferred location until this date; the names of chairpersons and titles of presentations (including the names of authors) can be entered until January 31, 2010. Please meet these deadlines.

17/5/2010 during the lunch break (about 12.30 o 13.30) and in the afternoon (from 16.15 to 18.00)

18/5/2010 during the lunch break (about 12.30 o 13.30) and in the afternoon (from 16.15 to 18.00)

Rotunda (for about 440 people) – exhibition hall A
Praha (for about 350 people)    – exhibition hall E 
Brno (for about 450 people) – exhibition hall E
Hradec Kralove (for about 300 people – Congress Centre

It is necessary to meet the time schedule for presentations of individual companies. When the set limit runs out, the symposium will be closed. When discussing the symposium with the presenters and the chairpersons, please consider the possibility your symposium could collide with another one. The final placement of your symposium in the program will be determined by the Program Committee whose chairperson is prof. MUDr. Aleš LInhart, DrSc.,  in dependence on the amount of sponsoring activities of the company, the date of the registration and after the coordination of all participating presenters and chairpersons. The information on the final placement of the symposium will be sent during March 2010.

3. Advertising
Advertising in the final version of the Program – you can order advertising at the web page until the end of February 2010.

Information for the exhibitors
Schedule for installations, events, and dissambly:

installation: 
14/05-15/05/2010 from 07:30 to 22:00 for hall A1
16/05/2010 from 07:30 to 17:00 for hall A1

The installation will be closed on May 16, 2010 at 5 p.m. Then the exhibition hall and the stands will be tidied up and closed for congress participants (except Exhibitors – blue tag) until the end of the Ceremonial Opening in Rotunda (about 8 p.m.). When the Ceremonial Presentation finishes, there will be an opening of expositions, which will be connected with a welcome cocktail among exhibiting companies. During the cocktail, the A1 hall gallery will be closed and the participants will move around the stands only.
The disassembly will start on Wednesday 19/5/2009 at 1 p.m. (when the congress program finishes) and finish at midnight.
The companies working on the exposition installation and disassembly will be able to enter freely during the installation work. The free entrance tickets for installing companies will be sent to the exhibitors before the congress by post.
It is possible to buy a free entrance ticket into the area for the entire time of the congress (650 Czk incl. VAT) or for one day (300 Czk incl. VAT). The order is included in the on-line company registration and the tickets will be collectible at the registration spot or they can be sent by post in advance.  
After the acceptance of the company registration (area order), you will obtain ORGANIZATIONAL INSTRUCTIONS FOR INSTALLATION, PROCEDURE AND DISASSEMBLY from the organizational secretariat. Please, pay proper attention to the instructions. If you want to hire a company because you are not using the standard cubicle which is provided by CSC, please hand them the instructions. 

If you are using the cubicle system, the standard equipment is included in the price (see Questionnaire for Exhibitors); if you are going to build your own exposition, for other services and stand equipment please contact EXPOSALE directly (the official congress exhibition company of CSC), the contact person is Mrs. Vojtekova:

The ordering form for other services or stand equipment (beyond the standard) is included at congress web pages. The payment for these services or the equipment will go directly to EXPOSALE.
During the entire congress there will be EXPOSALE stand in the area of hall A1; there it will be possible to make further orders.
Area dividing (placement of expositions) will be carried out at the beginning of March (in dependence on the received Questionnaires).

Accompanying cultural and social program
We are offering areas and catering services in the facilities of Veletrhy Brno – e.g. after the end of a symposium etc.

CSC Gala Evening – Tuesday 18/5/2010 – Hall G1 of the exhibition grounds, tickets cost 300 each and they can be ordered through the on-line registration system of CSC until the capacity is exhausted.

Accommodation
The accommodation forms are available at the CSC webpage and after being filled in they are sent directly to the e-mail of the hotel in question which will then confirm the reservation. If you have any questions, please contact the hotel directly, the organizational secretariat is not responsible for the accommodation. If you need to accommodate a larger group of people, contact the hotel by phone or e-mail; do not fill in the form, it is to be used for individual reservations only.
And the last but a very important piece of information:
THE EXHIBITORS will again register FREE OF CHARGE next year – their number depends on the size of the booked exhibition area. The list of free exhibitors’ registrations in dependence on the booked square meters is as follows:

Up to 10 m2   ……….     2 registrations free of charge
11 – 15  m2   ……..     4 registrations free of charge
16 – 20 m2    ……..     6 registrations free of charge
21 – 25 m2    ……..     8 registrations free of charge
26 – 30 m2    ……..   10 registrations free of charge
31 – 40 m2    ……..   12 registrations free of charge
41 – 50 m2    ……..   14 registrations free of charge
Each 10 m2 mean 2 more registrations free of charge

All persons who are going to be present at the exhibition grounds are to be registered using a group registration at the web page, as “Exhibitor” category. Ignore the price of 1,400 Czk stated at this category, it is general information; when you order, the system will detect automatically how many free registrations you are entitled to and the “discount” will be included in the total price.
All exhibitors’ registrations that are free of charge will only be assigned with ONE congress bag including lunch vouchers (May 17 and May 18); if there are more registrations which are paid (more than those free of charge), they will be all assigned with a congress bag with lunch vouchers each.

If you are interested in lunch vouchers, you can order them at the web page, the price of one voucher is 80 Czk.

The colour of name tags for exhibitors will be blue; only exhibitors and exhibitors with partial registration (blue and white name tags) will be permitted in exhibition hall A1 before the Ceremonial Opening on May 16.

 If you need more registrations for people in the stand, it is necessary to order the registration for “Exhibitor – partial registration” for 300 Czk; this price includes 2 lunch vouchers and the name tag allows the wearer to enter exhibition hall A1 and the company symposia only, not the other professional program. To enter the other areas, standard registration is necessary.
